At CHC, trust matters.
If you share personal information with me, whether that's because you're making an enquiry, booking a consultation, joining a course or working with me one to one, I want you to understand what happens to that information and why.
This Privacy Policy explains what information CHC collects, how it is used and stored, who it may be shared with, and the choices and rights you have.
1. Who is responsible for your information?
CHC (Chris Henry Coaching) is responsible for the personal information described in this Privacy Policy.
For data protection purposes, Chris Henry is the data controller.

2. What information does CHC collect?
The information I collect depends on how you interact with CHC.
It may include:
Contact information
Your name and preferred name
Email address
Telephone number, where provided
Pronouns, where you choose to provide them
Employer and job title, where relevant
Enquiry and consultation information
The services you're interested in
Information you provide before or during a consultation
Your communication goals and areas you'd like to develop
Details of an upcoming presentation, interview, event or other situation you would like help with
Notes I make where reasonably necessary to understand your goals and provide your coaching or training
Booking and payment information
The services you book
Course or session dates
Booking history
Payment status and transaction information
CHC does not need to store your complete debit or credit card details. Payments are processed through the relevant payment provider.
Communications
Emails, messages and other correspondence between you and CHC
WhatsApp messages where you choose to communicate with me through WhatsApp
Information relating to your bookings and appointments
Website information
Information submitted through forms on the CHC website
Technical and usage information collected through cookies and similar technologies, where applicable and subject to your choices
3. Why does CHC use your information?
I use personal information where it is reasonably necessary to run CHC and provide the services you've asked for.
This can include:
Responding to enquiries
Arranging consultations
Understanding what you want to achieve
Deciding whether CHC is a suitable fit for what you need
Providing coaching, courses and training
Tailoring sessions to individual needs
Managing bookings and payments
Sending information about sessions you've booked
Sending course materials and resources
Communicating changes to bookings or services
Keeping appropriate client records
Reviewing and improving CHC courses, training and services
Managing feedback and testimonials
Keeping CHC's website and systems secure
Meeting legal, accounting and regulatory obligations
Depending on the circumstances, CHC may process this information because it is necessary to provide a service you have requested or purchased, because you have given consent, because CHC has a legitimate interest in running and improving the business, or because there is a legal obligation to retain or use particular information.
4. Information about your health, accessibility or personal circumstances
Good coaching isn't one size fits all.
You may choose to tell me about a health condition, disability, anxiety, accessibility requirement or another personal circumstance because you think it would help me work with you more effectively.
Please only provide information that you are comfortable sharing and that you believe is relevant to your coaching or training.
Some of this information may be classed as special category personal data under UK data protection law.
Where CHC relies on your explicit consent to process this information, you will be asked for that consent separately.
I will only use this information for the purposes explained when it is collected, such as understanding your needs, making appropriate adjustments and helping me provide an effective and supportive service.
Access to this information is restricted to Chris Henry unless you have specifically agreed otherwise or disclosure is required by law.
You can withdraw your consent to the future use of information processed on the basis of your explicit consent by contacting CHC.
5. Recording coaching and training sessions
CHC coaching and training sessions may be recorded, including sessions delivered through Microsoft Teams.
Where a session will be recorded, participants will be informed.
Recordings may be used for two main purposes:
Supporting your development
Recordings allow me to review your communication, identify areas for development and provide more useful feedback.
Where reviewing part of a recording would be useful to your development, I may show the relevant footage to you during a coaching or training session, including by sharing my screen.
CHC does not routinely provide clients with copies or clips of session recordings.
Developing CHC
Recordings may also be reviewed internally to help me evaluate and improve CHC courses, exercises, coaching techniques, training materials and future services.
Recordings used for this purpose remain internal to CHC.
Session recordings will not be published, shared with other clients or used in public-facing marketing or social-media content simply because you agreed to the session being recorded.
If I would like to use footage featuring you publicly, I will ask you for separate, specific permission first. You are free to say no and doing so will not affect your relationship with CHC.
Session recordings are normally retained for up to 12 months after your final session or the completion of the relevant course or programme, after which they will be deleted unless there is a specific lawful reason for retaining them for longer.
6. Email, WhatsApp and service communications
If you make an enquiry, book a consultation or purchase a CHC service, I may contact you using the contact information you provide.
This can include communications about:
Your enquiry
Consultation arrangements
Payment
Booking confirmations
Course or session dates
Changes to your booking
Joining instructions
Course materials
Reminders
Information reasonably necessary to deliver the service you have requested
These are service communications and are separate from CHC marketing.
Where you communicate with CHC using WhatsApp, your information will also be processed through WhatsApp and its associated services.
7. Marketing
I'd love to keep in touch, but that's your choice.
CHC may occasionally send tips, updates, course information and news to people who have agreed to receive marketing communications.
Where consent is required, marketing consent will be requested separately and will not be a condition of purchasing a CHC service.
Marketing consent boxes will not be pre-ticked.
You can unsubscribe from marketing at any time by using the unsubscribe option provided in marketing emails or by contacting CHC.
Unsubscribing from marketing will not stop important service messages relating to something you have booked or purchased.
8. Testimonials
After completing a course, programme or other block of work with CHC, you may be invited to provide feedback or a testimonial.
Providing a testimonial is completely optional.
If you choose to provide one, you may also be asked how you would like to be identified. This may include:
Your first name
Employer
Job title
A country or flag you would like displayed alongside your testimonial
You do not have to provide all of this information.
CHC will ask for your permission before publishing your testimonial with the identifying information you have chosen to provide.
You may also be asked separately whether you consent to your testimonial being used on CHC social-media accounts and in other marketing materials.
You can contact CHC if you later wish to withdraw your permission for future use. Where reasonably possible, CHC will stop using the testimonial going forward. Withdrawal may not always be able to reverse material that has already been lawfully published, distributed or printed.
9. Who does CHC share information with?
CHC uses trusted third-party services to operate the business and deliver services.
Depending on how you interact with CHC, these may include providers of:
Website hosting and website forms
Appointment scheduling
Email and calendar services
Video conferencing and session recording
Payment processing
Email marketing
Business automation
Cloud storage
Analytics and website functionality
WhatsApp messaging
These providers may process personal information on CHC's behalf or, in some circumstances, act as separate data controllers.
CHC currently uses services including Squarespace, Microsoft 365 and Microsoft Teams, Microsoft Bookings, Mailchimp and WhatsApp. Other service providers may be introduced where reasonably necessary to operate CHC.
I do not sell your personal information.
I will not share personal information with third parties for their own unrelated marketing purposes.
Information may also be disclosed where required by law, regulation, court order or another legitimate legal requirement.
10. Where is your information stored?
Some of the technology providers CHC uses operate internationally.
This means personal information may sometimes be processed or stored outside the United Kingdom.
Where this happens, CHC will rely on the safeguards and transfer mechanisms required by applicable UK data protection law and, where appropriate, those put in place by the relevant service provider.
11. How long does CHC keep information?
I don't want to keep personal information simply because I can.
Different information needs to be kept for different periods depending on why it was collected.
As a general approach:
Enquiry information that does not result in an ongoing client relationship will only be retained for as long as reasonably useful and necessary.
Active client information will be retained while you are working with CHC and for an appropriate period afterwards.
Session recordings will normally be deleted within 12 months of your final session or completion of the relevant programme.
Financial and transaction records may be retained for the period required for accounting, tax and legal purposes.
Marketing information may be retained while you remain subscribed, together with appropriate records of consent and any subsequent withdrawal or opt-out.
Information required to record that you have opted out of marketing may need to be retained so that CHC can respect that choice.
CHC periodically reviews the information it holds and deletes or anonymises information that is no longer reasonably required.
12. Keeping your information secure
CHC takes reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
Access to client information is restricted to people and service providers who genuinely need access for the purposes described in this policy.
No internet or electronic storage system can be guaranteed to be completely secure, but I take the responsibility of looking after information entrusted to CHC seriously.
13. Cookies and website analytics
The CHC website may use cookies and similar technologies to make the website work, understand how it is being used and improve the experience for visitors.
Where consent is legally required for non-essential cookies or similar technologies, these will not be used until the appropriate consent has been provided.

14. Your data protection rights
Depending on the circumstances, UK data protection law gives you rights over your personal information.
These can include the right to:
Ask what personal information CHC holds about you
Request a copy of your personal information
Ask for inaccurate information to be corrected
Ask for personal information to be deleted in certain circumstances
Ask CHC to restrict how information is used in certain circumstances
Object to certain uses of your information
Receive certain information in a portable format
Withdraw consent where CHC relies on consent
Not every right applies in every situation.

15. Making a complaint
If you're unhappy about how CHC has handled your personal information, please contact me first so I have an opportunity to understand the problem and put things right.
You also have the right to complain to the UK's independent data protection regulator, the Information Commissioner's Office (ICO).

16. Changes to this Privacy Policy
CHC will develop over time, and the way information is used may develop with it.
This Privacy Policy may therefore be updated when CHC introduces new services, technology or ways of working, or when legal requirements change.
The latest version will be published on the CHC website with the date it was last updated.
